CANCELLATION & CHANGE POLICY

To maintain the integrity of our competition brackets and ensure a smooth experience for all participants, EURA has established the following policies regarding cancellations and roster adjustments.

A. Team Cancellations & Refunds
Refund eligibility is determined by the timing of the cancellation and the status of the event registration.

 

  • After Registration Closes: If a team cancels their registration after the official registration period has ended, no refund will be issued.

  • Before Registration Closes: If a team cancels while registration is still open, a 50% refund will be issued.

  • Medical injury exception: In other cases when a team has to cancel their registration due to a medical injury, the team will receive a full refund. The team then must provide an official doctor’s notice. This document must:

    • Clearly describe the trauma/illness.

    • Explicitly state that the player is forbidden from participating in athletic activities for the duration of the event.

B. Team Roster Changes
EURA maintains a strict "Fixed Roster" policy. Changes to a registered team are considered exceptions and are handled as follows:

1. Valid Grounds for Change Teammates may only be swapped due to medical reasons or unforeseeable last-minute events that are entirely outside the control of the affected player.

  • 1.1. Medical Documentation In the event of an injury or illness, the affected player must provide an official doctor’s notice. This document must:

    • ​Clearly describe the trauma/illness

    • Explicitly state that the player is forbidden from participating in athletic activities for the duration of the event

  • ​1.2. “Last-Minute Events” For non-medical emergencies (e.g., family emergencies, travel disruptions), the affected player must provide relevant supporting documentation to the EURA team. These cases are reviewed individually; there are no guaranteed criteria for acceptance, and the final decision rests with EURA.
     

2. Change Deadline All approved teammate changes must be finalized and communicated to the tournament organizers no later than 8:00 PM (local time) on the day before the division is scheduled to play.

3. Unauthorized Changes If a team wishes to change a player for any reason other than those listed above (or fails to provide documentation), the team is considered to have cancelled their registration and removed from the tournament. Any refund if subject to the regular refund policy. If they still wish to compete with a new partner, they must register as a new team, pay the registration fee again, and will be subject to the current availability or waiting list status.
