Updated rules for registration, team changes and cancellation policy for ETS 2026

THE LOTTERY SYSTEM

For the 2026 European Tour Series (ETS), EURA is using a structured Lottery System for tournament registration. This system is designed to provide fair access to both newcomers and returning players across all events. Registration is divided into three distinct stages:
1st Stage: New Team Lottery
To encourage growth and welcome new players to the European Tour Series, up to 50% of the tournament division capacity is drawn between New Teams. If the number of registered New Teams is less than 50% of the capacity, all New Teams are automatically accepted, and the remaining reserved spots will roll over to the 2nd Stage.

Definition of a New Team: A team is considered "New" only if both players are competing for the very first time ever in the relevant Category (Women, Open, or Mix) at an ETS event.

Important Note: This rule applies strictly to Categories, not Divisions. For example, if you have previously played an event at Open Contender, you are no longer considered a "new player" in the Open category. Therefore, if you later register to play in Open Pro for the first time, your team will not qualify as a New Team.

Pro Eligibility: New Teams registering for the Pro Division must still meet all EURA Pro Status eligibility requirements.

Rollover: If a New Team is not drawn in this first stage, they will automatically be moved to the 2nd stage.
2nd Stage: Full Lottery
All remaining tournament spots are filled through a secondary random draw. This draw includes all other returning teams, as well as any New Teams that were not selected during the 1st stage.
3rd Stage: The Waiting List
All teams that did not get drawn for the tournament during the first two stages are entered into the Waiting List.

The order of teams on the Waiting List is generated entirely at random.

Afterwards, if an accepted team drops out or cancels their registration, teams will be approached based strictly on this randomized order in the Waiting List.

TEAM CANCELLATION & CHANGES
Rules and procedures for cancellations, replacements and roster changes.
To maintain the integrity of our competition brackets and ensure a smooth experience for all participants, EURA has established the following policies regarding cancellations and roster adjustments.
Team Cancellations & Refunds
Refund eligibility is determined by the timing of the cancellation and the status of the event registration.
👉 After Registration Closes: If a team cancels their registration after the official registration period has ended, no refund will be issued.
👉 Before Registration Closes: If a team cancels while registration is still open, a 50% refund will be issued.

Medical injury exception
In other cases when a team has to cancel their registration due to a medical injury, the team will receive a full refund. The team then must provide an official doctor’s notice. This document must:

Clearly describe the trauma/illness.

Explicitly state that the player is forbidden from participating in athletic activities for the duration of the event.

Team Roster Changes
EURA maintains a strict "Fixed Roster" policy. Changes to a registered team are considered exceptions and are handled as follows:
Valid Grounds for Change
Teammates may only be swapped due to medical reasons or unforeseeable last-minute events that are entirely outside the control of the affected player.

​1.2. “Last-Minute Events” For non-medical emergencies (e.g., family emergencies, travel disruptions), the affected player must provide relevant supporting documentation to the EURA team. These cases are reviewed individually; there are no guaranteed criteria for acceptance, and the final decision rests with EURA.
Change Deadline
All approved teammate changes must be finalized and communicated to the tournament organizers no later than 8:00 PM (local time) on the day before the division is scheduled to play.
Unauthorized Changes
If a team wishes to change a player for any reason other than those listed above (or fails to provide documentation), the team is considered to have cancelled their registration and removed from the tournament. Any refund if subject to the regular refund policy. If they still wish to compete with a new partner, they must register as a new team, pay the registration fee again, and will be subject to the current availability or waiting list status.
